General
Why The Sweep App?
We are a bit biased but if you are a Sweep this is the only App you must have!
Can I use the App on my desktop, phone, tablet, Android or iOS?
Yes they will all automatically sync. Although an app, it is designed to look great and work equally well on all devices(Not windows tablets or phones).
What is the Customer App?
This is an App your customers can download. It shows your customers their current appointments and their last 5 invoices amongst other things.
Who is Zero Admin?
We have a family of Apps for professionals doing house visits.
Your contract?
Your subscription is monthly, you can leave anytime you like, without penalty.
What happens to my data if I leave?
It’s your data, download anytime.
What countries do you operate in?
We launch in the UK and US in July. Soon to follow Canada, Australia, New Zealand, Sweden and Netherlands.
Why is Equitotal better than other Apps?
They are designed exclusively for your profession. They are not apps that cover a large number of professions and therefore always a compromise.
How will this app make me more productive?
It will save you a lot of time and considerably reduce your paperwork. This will give you time for more appointments or a bit more time off, your choice.
Customers
What do I do if my customer does not have an email address?
This will just mean that do not receive any reminders apart from the 24 hours SMS. You will need to send them their invoices and certificates or hand write them.
Can I have a customer who has a monthly account?
Yes - Invoices are created each time you finish a job but not sent to your customer until the end of the mont.
Can I store a picture?
Yes just take the picture with your phone or tablet and this will be saved against a customer / house / room record.
What if my customer has a lot of houses (Council or MOD)?
You can create an appointment for this estate and then select which houses from their list you have swept at and invoice accordingly.
Can I store a video?
Yes it will need to be stored on your device but we will provide a link to this. The video will be stored in date order in a house / room record.
Getting started
How do I get started?
Click on one of the Register buttons and complete our form. We will then let you know when the App is ready for downloading. Early July is the planned date. It will then be a simple job of downloading the app and completing the setup Wizard.
Do I need to complete all of the setup Wizard?
No but the more you do the more benefit you will get from our App.
Do I have to sign up for Stripe and Go Cardless?
No, but we would strongly recommend you do. There is no cost to do this and it will make getting paid really easy.
Reminders
What reminders will customers get?
Appointment confirmation at time of making appointment.
One month before an email reminder.
24hrs before an SMS and email reminder.
In addition if they have not booked an appointment and should have done they will get a reminder one month before a sweep is due. This does rely on you putting the sweep frequency when entering their details.
Is there a map showing customers with a chimney that needs sweeping?
There is a map showing all chimneys that are due a sweep, by date, that do not have an appointment. Great for planning your schedule.
Bookings
How do I add a booking?
Simply tap a box in the diary or create an appointment from the menu.
What is a pending booking?
A booking where no date has been agreed upon. A way of not forgetting appointments that need to be made, great for customer service.
Can I delete a booking?
Yes - If a customer cancels or you just need to delete a booking for any reason. This permanently deletes the booking so you will not be able to refer back to it.
How do I find when I was last at a customer’s?
Use the search facility using animal name if you can’t remember your customers.
What email are sent to my customers?
They get a mail confirming appointments and a reminder 24 hours before. You can turn these off.
Do they get any SMS’s?
Yes 24 hour reminders from your phone text allowance, they also get a notification in their Customer App.
Can I repeat a booking?
Yes - If you goto a customer regularly you can create multiple bookings.
Invoicing
Can I run a monthly account for a customer?
Yes - Invoices will be created each time you visit your customer but will only be sent at the end of each month.
What will the invoice look like?
You can select from various styles and colours, if you have entered your logo in the setup it will appear on the invoice.
Subscriptions
How Does The 1 Month Free Trial Work?
Try the App for a month, risk free! All it takes is your email address and some basic information and you’re on your way!
What Do I Get In My Free Trial?
You get full access to everything for a month. You will experience how the App helps you manage your business.
What Happens After My Trial Ends?
We’ll give you a heads up before your trial is over. At that point, you can upgrade to the paid plan, add your billing info, and continue making your life easy.
Can I Cancel At Anytime?
Yes, you can cancel at any time.
Do you have a contract?
Your subscription is monthly, which you can leave anytime you like, without penalty.There is also an annual subscription option available during setup.
What happens to my data if I leave?
It’s your data, download anytime up to 6 months from when you end the subscription.
What are the subscription options?

1. One main user with calendar and full access.
2. Office manager with no separate calendar.
3. Manage main user’s appointments. Access to business reports.
4. Book-keeper access to sales invoices, purchases, expenses and mileage.
Multi User includes:
1. If you have more than one van, this is for you.
2. Each user has their own calendar.
3. There is an extra charge for each user per month.
4. The main user has some features (vehicle tracking and database download) not available to their other users.

Are there any discounts if I am a member of an association?
Yes - your association will let you know about these.

Getting paid
What is the easiest way of getting paid?
Encourage your customer to sign up to GoCardless in the UK or Stripe in the US. When you invoice its just one button and the money will be credited to your account. Customers love it!
Can I take Credit or Debit cards?
If you have completed this part of the setup you can using Stripe. Great for new customers and there is no monthly charge.
What does it cost to use Go Cardless and Stripe?
For Direct Debit / ACH / SEPA payments
UK – GoCardless charge 1% up to a maximum of £2.
US – Stripe charge 0.8% up to a maximum of $5.
Europe - GoCardless charge 1% up to a maximum of £2.
Australia - To be announced.

What are the payment methods?
You can take payment in any way you choose. This is then recorded, making it easy for your bookkeeper.
Purchases
How do I record a purchase?
Take a photo of the receipt and complete the details asked for. You can just record the details if you don’t want to photo the receipt or just import a file.
Can I export my purchases and expenses into my accounting package?
If you let us know which package you or your bookkeeper uses when you setup you will be able to export them. You can export them all as a spreadsheet at any time.
How do you deal with VAT / Sales Tax?
If you are registered, you will be able to run a VAT / Sales Tax, report for your quarterly, annual returns.
Reports
What reports can I run?
There are lots of reports - Sales, Purchases, VAT (if registered), quarterly accounts, chimney’s that need appointments and lots more.
Can my bookkeeper have access to these reports?
Yes - You can setup your bookkeeper as a user and they will be able to access all of the figures they require (assuming you have inputted then in the first place).
Can I easily find out which chimneys need sweeping?
Yes - By date, either on a map or on your dashboard.

Sweeping Certificates
Do I still need to give out paper certificates?
No - These are digitised and emailed directly to your customer. If your customer doesn’t have an email you can revert back to the old ways and issue one of your paper certificates.
Do I need to complete a certificate for each chimney in a house?
Yes - This is so that each fireplace has it’s own record.
Can customers still sign to confirm they have been “given” the certificate?
Yes - They can sign your device and this will be stored on the certificate.
Do I get a copy of the certificate?
Yes - This will be stored in the customer record.
Can I still record other info CO2 alarms, flue condition?
Yes - Options for these are on the reports
Can I easily find old certificates?
Yes - every digital certificate you issue is saved. Just go to the customer record and the house/room. You will find a convenient list of certificates and any photos you have taken in date order.
If I am not a member of any association can I get my own certificate digitised?
Yes - There will be a small charge for this, get in contact.
